The enquiry form
When the enquiry form is open, sending it is a real submission and we receive and store what you provide: your name, email address, and optionally your telephone number and role; the company details you choose to give; your description of the enquiry, the category, markets and timeframe; and your answers to the questions on the route you selected.
We also store a server timestamp, a unique reference for your enquiry, the page you came from, how long the form took to complete, a one-way hash of your network address and a shortened browser identification string. The hash and the browser string exist only to rate-limit abuse of the form. We do not store your raw network address.
We use this to read, assess and answer your enquiry. Our basis for processing it is our legitimate interest in responding to a business enquiry you chose to send us, and where you are asking about a possible engagement, taking steps at your request before a contract. Every enquiry is read by a person; we do not make automated decisions about you.
Before you can submit, you must confirm you have read this notice. Two further boxes are separate and optional: whether we may keep an open profile of your enquiry for relevant opportunities, and whether we may contact you with occasional updates. Both are off unless you tick them, and you can withdraw either at any time by writing to us.
If you email us
Writing to info@ashershub.com is voluntary. That address is our administrative, privacy and legal contact route. We process what you send in order to read and answer your message.
Optional analytics
We run our own first-party measurement of how the site is used. It is off unless you turn it on, and nothing is recorded before you do. When it is on, a record contains only an event name from a fixed list, the page path without any query string, a short identifier that lasts until you close the tab, the notice version and the time. It never contains your name, email address, telephone number, enquiry text, company details, enquiry reference or network address. Records are deleted after 90 days. Our basis is your consent, and you can withdraw it as easily as you gave it.
How long we keep things
- Analytics records: deleted 90 days after they are created. Each record carries an expiry point 90 days after it is written, and expired records are removed when the purge is run.
- Enquiries that are not relevant to us, or that we decline: kept for up to 12 months.
- Enquiries that become an active commercial discussion: kept while the discussion is active, and for up to 24 months after the last substantive contact.
- Records connected to a contract, accounting, a dispute, fraud prevention or another legal obligation: kept for the period that applies to that specific obligation. We do not apply a single fixed period to everything.
- Your marketing preference and optional open-profile preference: kept until you withdraw them, or until an internal inactivity review decides they are no longer needed.
Outside the analytics records, deletion is carried out by review rather than by an automatic timer. If you want your enquiry or correspondence removed sooner, write to info@ashershub.com. We will assess each request and delete the information where we are not required or otherwise entitled to keep it, for example for a contract, accounting, a dispute, fraud prevention, the establishment or defence of legal claims, or another legal obligation. Where we cannot delete something, we will tell you why and what we are keeping.
Human decisions and AI assistance
An AI assistant may help sort or summarise an enquiry. Decisions about whether Ashers Hub can help, and decisions on scope, price, partners and delivery, are made by a person. We do not make decisions about you by automated means alone that produce legal effects or similarly significant effects.
Who processes it on our behalf
- Website hosting and application infrastructure providers, who serve this website and operate the database in which enquiries and analytics records are stored.
- An email service provider, which operates the mailbox behind our contact address.
Your rights
- Access to the information we hold about you.
- Correction of information that is wrong.
- Deletion of your information. We assess each request and delete where we are not required or otherwise entitled to retain the record.
- Objection to our processing, and withdrawal of any consent you gave.
- Complaint to the ICO.
